The export screen serves multiple purposes in Collections MAX. It is broken up into three separate tabs named Accounts, Dialer, and Payments.
In the Accounts tab you can export account data to an Excel file and you also have the ability to change account status in a batch, and deleting accounts out of the system.
In the Dialer tab you can export account data out to a dialer (our TMAX dialer integration also has a custom export format and can import a return file).
In the Payment tab you can export out payment data that would be useful in creating external reports in Microsoft Excel or Access.
To view the Export screen you need to log in to Collections MAX Administrator with the root user name and password. Then click the Export Accounts button on the main control panel. You will see a screen like below.
Account Tab Functions:
Select Portfolio – Clicking this button will select all the accounts from the desired portfolio that is selected in the Portfolios data grid.
Select Status- Clicking this button will allow you to select all accounts in the system that are of a particular Administrator status.
Select Collector- Clicking this button will allow you to select all the accounts that are currently assigned to a selected collector.
Export – Clicking this button will bring up a popup box. Selecting the Collections MAX Export option will give you an Excel file with all of the custom fields, ideally for transferring to another Collections MAX system. Selecting Database Export will give you a stripped down version of the database fields, ideal for creating a file to sell the debt or where the full database is not needed. Click OK to export accounts.
Report- This button will show you a report of all the accounts that are selected to be exported.
Clear Data Grid- Clicking this button will remove all of the selected accounts in the data grid.
Exclude- Clicking this button will exclude or remove an account from the grid. Accounts that are removed will not be processed.
Delete Single- Clicking this button will delete the selected account.
Delete All- Clicking this button will delete ALL of the accounts listed in the data grid.
Status Select – You can select a status by clicking this button. A popup box will appear with Administration status’s for you to choose from. Select the status and click OK. You can then change the status of your accounts using the Change Single or Change ALL buttons.
Change Single – This button will change the selected account in the export data grid to the selected status.
Change All – This button will change ALL of the accounts in the export data grid to the selected status.
Dialer Tab Functions:
Select – Clicking this button will generate the query needed to populate the results on the Accounts data grid. If you make a selection of parameters from the drill down or select options section you need to click the select button again to update your results.
Select Options – You can retrieve accounts from all collectors by leaving the radio button checked that says “Select Accounts from All Collectors” or you can select accounts for a single collector by checking off the radio button that says “Only this collector” and then select the desired collector in the drop down box.
Export- Clicking this button will generate an Excel or CSV file (depending which option you pick) for import into a dialer.
Exclude – Clicking this button will remove the selected account from the list of accounts in the Accounts data grid.
Exclude Status Selected – Clicking this button will exclude all of the accounts that have the same status of the selected account.
Export T-MAX Dialer File- Clicking this button will show you a screen where you can build an export to the T-MAX Dialer.
Import T-MAX Ret File – Clicking this button will allow you to import a return file from the T-MAX dialer which will update all the notes on the accounts connected to the dialer and display a deposition.
Payments Tab Functions:
On the payments tab you can select the payments that you want to export by using the drill down features and then click the Select button.
Clicking the Exclude button will exclude selected payments.
Clicking the Export button will allow you to export the payments to Excel.
